ExpatWomenAtWork, through the no profit association Expatclic Italia, places utmost importance on confidentiality and safeguarding and protecting personal data provided by all those it comes into contact with.

Anyone surfing this website is kindly requested to firstly check all the sections of this document that describe how the site is managed in terms of the personal data processing of the users that consult it. This information is given in compliance with art. 13 of Reg. EU no. 679/2016 (GDPR), to all those who interact with Expatclic Italia web services that are accessible telematically at the following address:

that corresponds to the home page of the official ExpatWomenAtWork website.

This information is valid only for the ExpatWomenAtWork website and not for other sites that may be consulted by the user through links contained in the ExpatWomenAtWork site. ExpatWomenAtWork website has no control over these sites or on the procedures they apply in terms of data confidentiality. We therefore suggest you consult the confidentiality measures of all the companies you contact before providing them with your personal details.

  1. TYPES OF DATA PROCESSED AND PURPOSE OF PROCESSING

Surfing data

During normal operation, the computer systems and software procedures that control website function acquire data whose transmission is implicit in the use of Internet communication protocols. This information is not collected in order to be combined with identified data subject but, by its very nature, it could permit user identification through elaborations and associations with data held by third parties.

This category of data includes IP addresses or dominion names of computers used to connect to the site, the URI (Uniform Resource Identifier) notation addresses of the resources requested, the time of the request, the method used to make the request to the server, the size of the file received in reply, the numerical code that indicates the status of the reply given by the server (successful connection, error, etc.) and other parameters relative to the user’s operating system and computer environment.

This data is used for the sole purpose of obtaining anonymous statistical information on the use of the site and to check its correct functioning. It is neither communicated to third parties nor diffused.

Data provided voluntarily by the user

The user is only asked to provide personal data (e.g. name, e-mail address) if he wishes to contact us or use the services offered by our website. In such cases, the user is always shown a special information sheet beforehand and where required, is asked for authorisation. The optional and voluntary sending of personal data implies its processing for the purposes and within the limits indicated in the special information sheet.

Personal data are collected and processed for the following purposes:

  • a. for administrative purposes and for the fulfillment of legal obligations such as those of an accounting, tax, or to comply with requests from the judicial authority.
  • b.in the presence of specific consent, for the periodic sending, by e-mail, of newsletters and for communications between ExpatWomenAtWork and the user;
  • c.in the presence of specific consent, to receive updates on our activities or invitations to events / activities organized by ExpatWomenAtWork and Expatclic Italia Association;
  • d.in the case of sending curriculum vitae, exclusively for selection purposes.

In the case expressly indicated above, the legal basis is the consent freely given by the interested party, in other cases, the legal basis is represented by the obligations imposed by law.

We collect your personal data through a Google form, whose completion is necessary to upload your profile on the ExpatWomen at Work platform (in the sections “Contact us”, “Newsletters”, “Join us” to become a member). The fields required in this form are your name and last name, e-mail address, country of residence, category of your work, short and long bio, website or socials.

ExpatWomen at Work sends a monthly newsletter through a form of http://mailchimp.com, adapted to the recent European norm GDPR and that you find here. Required fields are e-mail address, name, surname, nationality and country of residence.

Donations to ExpatWomen at Work are made through the Paypal system; we invite you to visit their website (www.paypal.com) to get to know their specific rules for treatment of personal data when collecting donations for Expatclic.com.

Nature of the conferment

Apart from navigation data, the provision of data:

  • with respect to the purposes referred to in letter a) above is optional but any refusal will make it impossible for ExpatWomenAtWork to proceed with the performance of its activities and potential tax obligations.
  • Compared to the purposes referred to in letter b), c), d) and e) it is also optional and their use is conditioned to an explicit consent. Any refusal will make it impossible for ExpatWomenAtWork to reply to requests sent by the user, and it could mean it is impossible for our company to provide the service requested, to send communications, newsletters, or invitations to events and activities of ExpatWomen at Work and Expatclic Italia.

Cookies

A “cookie” is a small text file transferred by the web server to the user’s computer. Its aim is to inform the server regarding user access to a particular web page and other news obtained from the system’s legible parameters via functions contained in the web page. Cookies can be “temporary” (or session cookies, cancelled at the end of the connection) or “permanent” (memorized on the user’s hard disk unless the user cancels them).

This site uses session cookies and persistent cookies in order to:

  • keep an anonymous trace of surfing sessions;
  • improve surfing within the site;
  • personalize services;
  • analyse, in aggregate form, site traffic models.

The persistent cookies we use can only store personal identification data if the user has registered or granted authorisation for the personal data input to be stored. Otherwise, our server merely recognises that a non-identified visitor, with that particular cookie, has reconnected to the site.

This data is not communicated to third parties and is not diffused.

The user can, depending on the browser being used, disable or select to accept or refuse the use of cookies. In this case surfing cannot be as easy, some site functions may not be available and some web pages may be visualised incorrectly.

Web beacons

Our website uses Web beacons. A Web beacon is an electronic image (a single-pixel, transparent GIF image) positioned on a web page that is used to check if a certain page has been visited or not and to draw up anonymous and cumulative statistics on website use.

  1. PROCESSING METHOD

Personal data is processed using manual and data processing instruments in order to achieve the purposes for which it was collected. Special security measures are used in order to prevent the loss and illicit or incorrect use of data and non-authorised access.

The data obtained by email or by the form are kept enough time to reply and satisfy your request and will not be disclosed to third parties.

  1. PROCESSING SITE

Any processing connected to this site’s web services (physical hosted on a web server owned by OVH www.ovh.com) is carried out on the premises of the company that owns the server, on behalf of the data controller and is only handled by employees, collaborators or partner employees, or by employees carrying out occasional maintenance work at the OVH premises.

All personal data are stored in a dedicated server OVH, based in Roubaix, France, and whose personal data protection and cookies policy you can see here.

RIGHTS OF THE DATA SUBJECT

The interested party may at any time exercise the rights referred to in Articles 15 to 22 of the GDPR.

In particular, the interested party may in any case cancel the consent, if previously expressed. You will also have the right to request the modification, integration, updating, confirmation or cancellation of stored data, the right to object to the processing of the personal data and the right to the portability of such data.

These rights can be exercised through the following methods:
